How to Relocate Your Office

Is your office relocating?

If so, chances are you’ve got a lot of planning to do for your move to run smoothly. In this post, we’ll be discussing how to relocate your office on a month to week basis.

1. Tell Your Employees About the Move

Six months prior to your move, inform your employees of the relocation, if they don’t already know. Let them know early on so as not to let rumors spread, which could lead to anxiety. Informing your employees well in advance gives them plenty of time to adjust to the move.
It’s a good idea to create a relocation document when informing your employees. Within that document, include the anticipated relocation date, new location, advantages of the local area, commute times, and key parking specifics.

2. Start Your Assessment and Develop a Plan

Four months before your move, you’ll want to start collecting information about your furniture, storage files, tech equipment, and other major inventory. Asses your inventory is by comparing storage space at your current office to the new location to be sure you’ll have enough room for your old items.
Once you’ve calculated the space difference, review what you’ll be retaining and what you’ll be getting rid of. Count all of the cabinets, filing draws, desks, monitors, and additional items within your current office that you plan on moving twice to be on the safe side.

3. Find Movers for the Relocation

A few months before your move, you’ll want to find a compatible moving company for the big day. Some property owners favor certain moving companies, so check with both your current and your soon-to-be office building owners to avoid compatibility issues.

4. Choose Your Vendors

The countdown is approaching, and you only have six weeks left until the big move. Be sure to finalize any contracts you have, including with the moving company, liquidator, IT consultants, and more.

5. Pack Up the Old Office

You don’t want to start packing up your office too early on because then you might find yourself sorting through storage boxes for information that you’ve already packed. Instead, wait until two weeks out to start packing and throwing out things you won’t be taking with you.

6. Make the Move

The last few days will go by in a blur. Check to make sure your employees have finished their packing, with one final box for anything that hasn’t been packed away. You’ll likely be scheduling your move on a Friday, as most office buildings in shared facilities don’t allow disruption during office hours.

Don’t forget to plan the layout of the new office building. Have a plan for where your employees will be seated, and where the desks, files, computers, and other key areas of your office will go.

7. Clean and Get Settled

The last steps of your relocation process include cleaning the old office building, liquidating your unwanted items, and giving your new office a clean. This will help you and your employees get settled in your new office space quickly.
